About the Job

The job holder will be responsible for maintaining the integrity and accessibility of patient health information, the accurate collection, storage, retrieval, and dissemination of patient records, ensuring compliance with all relevant regulations and data privacy standards. They will also take care of patient registration with accurate information, verifying insurance benefits and eligibility and accurately register and generate billing statements for clients.

Responsibilities

Ensuring the accurate and timely creation, maintenance, and filing of patient medical records.
Managing patient registration, appointment scheduling, and front-desk operations as needed.
Retrieving and preparing patient files for clinics, admissions, and other departments.
Maintaining strict confidentiality and security of all patient information.
Ensuring data quality and completeness in both manual and electronic health record systems.
Assisting with internal and external audits related to health records.
Handling incoming calls, directing them appropriately, and providing general information about the Centre’s services.
Processing patient payments, issuing receipts, and reconciling daily cash and electronic transactions.
Managing petty cash and ensuring accurate records of all disbursements.
Preparing daily, weekly, and monthly financial reports for management review.
Coordinating with medical staff to ensure smooth patient flow and efficient clinic operations.
Ordering and maintaining office supplies, ensuring availability for daily operations.
Providing excellent customer service, addressing patient inquiries and concerns in a professional and empathetic manner.
Ensuring the reception and waiting areas are clean, organized, and welcoming for patients and visitors.
Participating in continuous professional development and training initiatives.
Performing any other duties as assigned by the Clinical Administrator.

Requirements

Diploma in Health Records and Information Technology, Business Administration, Accounting, or a related field.
Minimum of 3-5 years of experience in a similar role, preferably in a healthcare setting.
Proficiency in electronic health record (EHR) systems, accounting software, and Microsoft Office Suite.
Strong organizational and multitasking skills, with the ability to manage patient flow and administrative tasks efficiently.
Excellent communication and interpersonal skills, with a patient-centered approach.
Attention to detail and accuracy in handling patient information and financial transactions.
Ability to maintain confidentiality and adhere to data privacy regulations.
Fluency in English and Kiswahili, both oral and written.
Ability to work independently and as part of a team in a fast-paced environment.
Empathy and sensitivity in working with diverse populations, including GBV survivors.
Strong problem-solving skills and ability to adapt quickly to change.
Demonstrated ability to work as a team and player.
Ability to work under pressure and unsupervised.
